Is your property management bookkeeping in good hands? Three questions.

Answer with the buttons and you get a straight read on where you stand.

Question 1 of 3

Does your accountant reply the same working day?

What you get

HMRC dealt with at no extra cost

If HMRC opens an enquiry into your business, we deal with it and you do not pay us extra. Other firms sell that cover as an add-on for £300 to £1,000 a year. Every HMRC investigation we have handled, we have won.

A bill you can explain, line by line

A client came to us owing HMRC around £20,000 with no idea what for. We went through every line, filed his return early, and that part of the debt was cancelled with the interest written off.

A fee you know before we start

We agree it in writing, and calls, meetings and emails are never charged on top. Ring us when a landlord queries a figure and it costs nothing.

What property managers tell us when they call

These are the three things we hear most from managers and letting agents in Cardiff and Newport.

  • The landlord wants his statement for the quarter and I am still chasing two contractor invoices.

The statement goes out late and the landlord starts asking where his money has gone.

  • Our management fees went past the VAT threshold months ago and nobody told me until the return was due.

Late registration means VAT on fees you have already collected, with a penalty behind it.

  • I rang about a service charge question on Monday and heard back the following week.

The question sat open while rent, deposits and fees kept moving through the account.

  • What changes once we take it on

Your bookkeeping is brought up to date and kept there each month, with landlord money and your own fees clearly separated in the records. Every VAT, payroll and filing date for the year is mapped. You get an answer the same working day you ask.

How this compares with a general accountant you hear from once a year

Plenty of firms do good work on an annual cycle, and that suits some businesses.

An accountant you hear from once a year

Accounts arrive months after the year end, with the questions saved up until then.

A query about a landlord statement gets answered when they reach it.

The fee follows the time spent, so the invoice turns up after the work.

Investigation cover is sold separately, often £300 to £1,000 a year.

With Supreme Consultants

Bookkeeping kept current each month, so the VAT return is a short job.

A reply the same working day, and if it needs longer we say when.

A fixed fee agreed in writing before we start, with calls never charged.

Tax investigation cover included free, and we deal with HMRC for you.

Eight questions about your current set-up

Answer these honestly and you will see where the gaps are.

  • Do your landlord statements go out on the date you promised?

Late statements are the first thing a landlord remembers at renewal.

  • Are management fees and money held for landlords separate in your records?

If they sit in one column, your own income figure is wrong.

  • Do you know whether your management fees have passed the VAT threshold?

Fees count towards the threshold even when the rent passing through does not.

  • Is your bookkeeping up to date to the end of last month?

A VAT return built from a shoebox in the last week is where errors come from.

  • Can you say today how much you hold on behalf of landlords?

You should be able to answer that from the records in a minute.

  • Has every VAT return gone in on time this year?

Late returns put you on the list for an HMRC check.

  • Does someone deal with HMRC letters for you?

If the answer is you, an enquiry will take weeks of your time.

  • Do you know what your accountant will charge you this year?

A fee you cannot predict is a fee that stops you ringing.

I just want to say a big thank you to Mudassir for all the advice, guidance and help he has provided whilst dealing with my accounts and tax returns. From start to finish the service has been excellent and professional. Unlike other accountancy firms they provide a friendly personalised service, I was very clear on the process and was even provided with additional guidance where needed. Highly recommended!

How switching to us works

Four steps, and you never have to ring your current accountant.

  1. Before you join

    Your fee agreed in writing

You answer a few questions on the site. Mudassir reads them and replies the same working day, and we agree your fixed fee before any work starts.

  2. Week one

    Records moved across for you

We complete your ID checks and write to your current accountant for your records. HMRC and Companies House authorise us as your agent.

  3. First month

    Old returns checked properly

We go through your past accounts, tax returns and HMRC records. Unclaimed reliefs, payments on account set too high and penalties worth appealing turn up here.

  4. By ninety days

    Every deadline in the diary

We sit down with you on how you pay yourself and on your bookkeeping set-up. You know what is coming up and who to call.

Who we are not right for

We do not act for CIS construction subcontractors.

We do not prepare charity accounts.

We cannot take on a business that is already late in an HMRC investigation.

If you are outside those three, start the check and we will tell you the same working day whether we are a fit.

Accountants for property managers: questions people ask

What do accountants for property managers charge?

We quote a fixed fee in writing before any work starts, based on the number of properties you manage, whether you are VAT registered and how many people you pay. It does not move during the year. Calls, meetings and emails are never charged on top, so you can ring us about a landlord query without watching the clock.

Can I switch accountants part way through the year?

Yes, and you do not have to make the awkward call. We write to your current accountant for your records, complete your ID checks and get authorised as your agent with HMRC and Companies House. The handover and your first month carry no separate charge, and we pick the year up wherever it stands.

What happens if HMRC writes to me about my VAT?

Send it to us the day it arrives. We read it, answer HMRC and handle the correspondence for you, and tax investigation cover is included free for every client. Other firms sell that cover as an add-on for £300 to £1,000 a year. Every HMRC investigation we have handled, we have won.

Do I have to change my software?

No. If your property management system and your bookkeeping already work, we take your data as it comes. If you want to move to Xero we do the migration free. What matters to us is that the records reconcile to the bank each month and that your VAT records meet Making Tax Digital.

Do you only work with property managers in Cardiff?

We are based at Titan House in Cardiff Bay and over 90% of our clients are in South Wales. We act for managers and agents in Newport, Swansea, Caerphilly, Barry and Port Talbot, and over the bridge in Bristol. Work is done remotely, in person at our office, or a mix of both.

Is there any property work you will not take on?

We do not act for CIS construction subcontractors, we do not prepare charity accounts, and we cannot step into a case that is already late in an HMRC investigation. We also do not take one-off Self Assessment returns with nothing ongoing. If that is you, we will say so the same working day.
