Accountants for importers in South Wales who sort the import VAT

Accountants for importers usually get called in after the first shipment lands. The duty, the freight agent invoice and the import VAT do not match the books.

Most importers we meet are unsure whether the import VAT in their records is right, or what the freight agent actually charged for. We sort the figures and we deal with HMRC. Tax investigation cover is included free for every client.

In one lineSupreme Consultants is an AAT licensed accountancy practice at Titan House in Cardiff Bay. It does bookkeeping, import VAT, payroll, year-end accounts and corporation tax for importers across South Wales on a fixed fee agreed before work starts. Tax investigation cover is included free for every client.

Is your import paperwork in good hands? Three questions.

Answer with the buttons and you get a straight read on where you stand.

Question 1 of 3

Does your accountant reply the same working day?

What you get

We deal with HMRC when the letter comes

If HMRC opens an enquiry we handle it and you pay us nothing extra. Other firms sell that cover as an add-on for £300 to £1,000 a year. Every HMRC investigation we have handled, we have won.

Import VAT that matches your VAT return

We check your import VAT records against the freight agent invoices before the quarterly return goes in. You see what the goods really cost once duty is in.

A fee you know before we start

The fee is agreed in writing first. Ring us when a customs charge appears that nobody warned you about and it costs nothing.

What importers tell us when they first call

These are the three things we hear most from owners bringing goods into the UK.

  • “My freight agent sends one invoice with duty, VAT and their fee on it and I just pay it.”

The whole lump went in as a cost, so the VAT on it was never reclaimed.

  • “I started importing before I registered for anything and now HMRC has written to me.”

The letter sat for three weeks because nobody could tell him what it meant.

  • “I do not know what a unit costs me by the time it reaches the warehouse.”

He was pricing against a number that left out duty and shipping.

  • What changes once we take it on

Your purchase ledger separates duty, shipping and import VAT from the goods themselves. Each VAT return is checked against the import records before it is filed. You know the landed cost of what you sell.

How this compares with a general accountant

Plenty of good accountants do not see import paperwork often, and it shows in the books.

An accountant who sees your books once a year

You hear from them after the year end.

The freight agent invoice goes in as one lump.

A ten minute call turns up on the next invoice.

Tax investigation cover is an add-on at £300 to £1,000 a year.

With Supreme Consultants

A reply the same working day.

Duty, shipping and import VAT split out line by line.

Calls, meetings and emails are never charged.

Tax investigation cover is included free.

Eight questions about your import set-up

Answer these honestly and you will see where the holes are.

  • Do you have an EORI number registered to your business?

You need one to bring goods into the UK in your own name.

  • Are your import VAT records checked against your VAT return each quarter?

This is the most common place figures go missing.

  • Is the freight agent invoice split between duty, VAT and their own fee?

Posted as one lump, the VAT on it never gets reclaimed.

  • Do you know what a unit costs once duty and shipping are in?

Without that number your margin is a guess.

  • Do you know which VAT treatment you are using on imports?

We check this before the first return we file for you.

  • Are purchases in foreign currency converted at a consistent rate?

Mixed rates make the year-end accounts disagree with the bank.

  • Does your accountant reply the same working day?

We do, and if the answer takes longer we say that day when it will come.

  • Would an HMRC VAT check cost you extra in accountant fees?

With us it does not, because the cover is included.

Who we are not right for

We do not take on CIS construction subcontractors.

We do not do charity accounts.

We cannot pick up a business that is already late in an HMRC investigation.

If you are importing and trading in South Wales or over the bridge in Bristol, start the check and we will tell you straight.

Accountants for importers: questions people ask

What do accountants for importers cost?

We agree a fixed fee in writing before any work starts, based on what you actually need: bookkeeping, VAT, payroll, accounts and corporation tax. The fee does not move during the year. Calls, meetings and emails are never charged on top, so asking us about a customs charge costs you nothing.

How do I switch to you from my current accountant?

You answer the questions on this page and we reply the same working day. If we are a fit, we agree the fee, complete your ID checks and write to your current accountant for your records. You do not have to make that call. Companies House ID verification is done free for clients.

What happens if HMRC writes to me about my import VAT?

Send it to us and we deal with HMRC for you. Tax investigation cover is included free for every client, where other firms sell it as an add-on for £300 to £1,000 a year. Every HMRC investigation we have handled, we have won. We cannot take on a business already late in an investigation.

Do I have to change my accounting software?

No. We work with the cloud software you already use and keep your records up to date in it. If you want to move to Xero we do the migration free. We will tell you plainly if your current set-up cannot handle duty and import VAT properly.

Can you register me for VAT and an EORI number before I start importing?

Yes. We handle company formation as part of ongoing work, VAT registration and the EORI registration you need to bring goods into the UK in your own name. We did exactly that for a founder importing products from Asia who did not know where to begin with the paperwork.

Do accountants for importers need to be local to me?

Not strictly, but most of our clients are. Over 90 per cent are in South Wales, with Cardiff first, then Newport, Swansea, Caerphilly, Barry and Port Talbot, and Bristol over the bridge. Work is done remotely, in person at Titan House in Cardiff Bay, or a mix of both.
