HMRC investigation support for South Wales businesses, from the first letter

HMRC investigation support is what people ring us about the morning a brown envelope lands behind the till. The earlier you call, the more we can change.

Most owners sit on the letter for a week, hoping it is a mistake. HMRC does not read silence as innocence, and the deadline on the page keeps running. Tax investigation cover is included free for every client we look after, and every HMRC investigation we have handled, we have won.

In one lineSupreme Consultants is an AAT licensed accountancy practice in Cardiff Bay that handles HMRC enquiries, letters and tax debt for shops and small businesses across South Wales. Work is priced as a fixed monthly fee agreed before it starts, and tax investigation cover is included free for every client.

Is your HMRC side in good hands? Three questions.

No email needed, answer with the buttons.

Question 1 of 3

Does your accountant reply the same working day?

What you get

Tax investigation cover at no charge

It is included free for every client we act for, where other firms sell it as an add-on. Every HMRC investigation we have handled, we have won.

We talk to HMRC, you run the shop

We go on record as your agent and answer the letter. You send us the post and get back behind the counter.

Somebody who reads the whole file

We check what HMRC holds and what you have been charged. We found a Cardiff shop still paying full business rates through Covid and recovered £10,000.

What people say when they ring us about an HMRC letter

Three things we hear most weeks from shop, takeaway and salon owners across Cardiff and Newport.

  • “HMRC have written about our VAT for the last two quarters and I don’t know what they actually want.”

He read it four times and did nothing for nine days. Nine days off a thirty day deadline is a third of the time gone.

  • “There’s a bill on my HMRC account for thousands and nobody has ever explained where it came from.”

She had been paying it down for a year. Part of it was payments on account set too high and never reviewed.

  • “I sent my accountant the letter over a week ago and he still hasn’t rung me back.”

By the time he replied, the response date had passed and a penalty was on the account.

  • What changes once we take it on

You forward the letter the day it lands and we tell you that day what it is and what we are doing. We go on record with HMRC as your agent, so the next letter comes to us. The fee was agreed before any of this started and the phone call costs nothing.

How cover sold as an extra compares with ours

Both arrangements can work, and plenty of good firms use the first one.

Cover sold to you as an add-on

A yearly premium on top of the accounts fee.

You decide each renewal whether to keep paying for it.

Enquiry work may be billed by the hour.

A phone call about the letter can show up on the invoice.

With Supreme Consultants

Tax investigation cover is included free for every client.

The monthly fee is agreed in writing before we start.

We answer HMRC as your appointed agent.

Calls, meetings and emails are never charged for.

Eight questions about how your HMRC side is set up

Answer each one yes or no and see how many you are sure about.

  • Is anyone registered as your agent with HMRC?

Without that, HMRC will not discuss your account with your accountant.

  • Have you checked your HMRC account balance this year?

Old payments on account sit there quietly and keep being collected.

  • Do you open HMRC post the day it arrives?

The response deadline runs from the date on the letter, not the date you read it.

  • Are your till takings reconciled to the bank every week?

An enquiry into VAT starts with whether those two numbers agree.

  • Could you produce six months of purchase invoices this week?

HMRC will ask for records, and a box of receipts takes longer than you think.

  • Has anyone ever appealed a penalty on your account?

Some penalties can be appealed and most owners never try.

  • Would a call about an HMRC letter appear on your invoice?

With us it never does, so people ask early instead of waiting.

  • Do you have tax investigation cover in place?

Ours is included free for every client we look after.

What we do for your HMRC enquiry

From the first letter through to the records HMRC asks to see.

All Services
Reading the letter
We tell you what HMRC is actually asking for and what the deadline is, the same working day you send it.
Dealing with HMRC direct
We go on record as your agent and handle the correspondence and the calls. You stay out of it unless there is a reason not to.
Debt and penalty work
We unpick payments on account, file early where that reduces the liability, and appeal penalties that can be appealed.
Rebuilding the records
If the bookkeeping is behind or lost, we reconstruct it and bring overdue filings back up to date.
Keeping it from recurring
Every deadline goes in the diary and your VAT, payroll and accounts run on time from then on.

What reading the HMRC record properly did for one retail client

A South Wales shop owner came to us carrying about £20,000 on his HMRC account that nobody had explained. He had been paying instalments against it for months without asking why.

Clients described by type. Names withheld.

£20,000of HMRC debt a retail client could not account for
How it was found
We were appointed as his agent in week one and went through the full HMRC record in the first month.
What happened
Payments on account were unpicked, the return was filed early to bring the liability down, and the penalty was appealed.

I just want to say a big thank you to Mudassir for all the advice, guidance and help he has provided whilst dealing with my accounts and tax returns. From start to finish the service has been excellent and professional. Unlike other accountancy firms they provide a friendly personalised service, I was very clear on the process and was even provided with additional guidance where needed. Highly recommended!

How getting started works

Four stages, and the first one is a free conversation about whether we are the right fit.

  1. Before you join

    A straight answer on fit

Tell us what HMRC has sent and where things stand. If we cannot genuinely help, we will say so.

  2. Week one

    Agent authority with HMRC

We complete ID checks, agree your fixed fee in writing and get appointed as your agent so HMRC deals with us.

  3. First month

    Your HMRC record read properly

We go through past returns, accounts and the HMRC account in detail. This is where the missed reliefs and appealable penalties turn up.

  4. By ninety days

    Every deadline in the diary

VAT, payroll, accounts and self assessment are mapped for the year ahead, so the next letter is a routine one.

Who we are not right for

We do not take on cases that are already late in an HMRC investigation, so bring us in early.

We do not act for CIS construction subcontractors.

We do not act for charities.

If none of those describe you, run the three question check and we will tell you where you stand.

HMRC investigation support: questions people ask

What does HMRC investigation support cost?

It is covered by the fixed monthly fee we agree in writing before any work starts, and tax investigation cover is included free for every client we look after. Other firms sell that cover as a yearly add-on. Calls, meetings and emails are never billed, so you can ring us the day the letter arrives.

Can you take over from my current accountant mid enquiry?

We write to your current accountant for professional clearance so you do not have to make that call, then get appointed as your agent with HMRC and Companies House. The handover is free, the first month is free, and Companies House ID verification is free where you need it. We do need to be in early rather than at the end.

What happens if HMRC writes to me or opens a check?

Send us the letter the day it arrives, including the envelope. We work out what HMRC is asking for, what they already hold and what the deadline is, then reply as your agent. You will not normally speak to HMRC yourself. Every HMRC investigation we have handled, we have won.

Do I have to change my bookkeeping software?

No. We work with the records you keep now and read them as they are. If you would rather move to Xero we migrate you free of charge, but that is your decision and it is never a condition of us acting for you. Plenty of our retail clients stay on what they already use.

Do I need HMRC investigation support if I have done nothing wrong?

Checks are often triggered by the numbers rather than by suspicion, such as a VAT margin that looks odd for a shop, or figures that move sharply year on year. Being in the right still means producing records and answering questions to a deadline. Having someone already authorised as your agent is what saves the time.

How quickly will you come back to me?

Same working day. If the answer needs longer than that, we still come back the same day to tell you when you will have it. We are at Titan House in Cardiff Bay, open Monday to Friday, nine to five, on 029 2264 0550, and you can meet us in person or deal with us remotely.
