Accountants for sports clubs with a fixed fee and a same day reply

Accountants for sports clubs usually get the call when the treasurer stands down and nobody can find the bank statements.

Most clubs run on volunteers, and the books get passed around until something is filed late. We take the bookkeeping, the payroll for coaches and the year-end accounts on a fixed fee agreed in writing before we start. Tax investigation cover is included free for every client.

In one lineSupreme Consultants is an AAT licensed accountancy practice at Titan House in Cardiff Bay that does the bookkeeping, payroll, VAT, year-end accounts and funder reporting for sports clubs and community organisations across South Wales. The fee is fixed and agreed in writing before work starts, and tax investigation cover is included free.

Is your club’s money in good hands? Three questions.

Answer by button and read the result; nothing is emailed to you.

Question 1 of 3

Does your accountant reply the same working day?

What you get

Tax investigation cover included free

If HMRC opens an enquiry into the club, we deal with it and you pay us nothing extra. Every HMRC investigation we have handled, we have won.

A fixed fee the committee can budget

The fee is agreed in writing before we start. Calls, meetings and emails are never charged on top.

Numbers the committee can actually read

You get accounts explained in plain English, ready for the AGM and for any funder asking where the money went.

What club secretaries tell us when they ring

These are the three calls we take most often from clubs across South Wales.

  • “Our treasurer stood down in March and nobody has touched the bank paperwork since.”

The year-end arrived with eight months unreconciled, and the filing deadline did not move.

  • “We pay two coaches and a groundsman, and I have no idea if the payroll is right.”

Payments made outside payroll turn into an HMRC letter later, and the club pays the penalty.

  • “Our funder wants a spend report by Friday and nobody here can produce one.”

The money was spent properly, but without the report the next instalment stalls.

  • What changes once we take it on

We take the bookkeeping, the payroll and the year-end accounts off the committee. Every deadline for the year is mapped, and you get a reply the same working day. When HMRC or a funder asks for something, you ring us and it costs nothing.

How we compare with the usual club arrangement

Most clubs run on a volunteer treasurer and an accountant they speak to once a year.

A volunteer treasurer and a yearly accountant

The books get done when someone has a free evening.

Questions are answered after the committee meeting has passed.

The fee turns up after the work, with calls on it.

An HMRC letter becomes the committee’s problem.

With Supreme Consultants

Records kept up to date in cloud software each month.

A reply the same working day, every time.

A fixed fee agreed in writing before we start.

We deal with HMRC for you at no extra cost.

Eight questions about how your club handles money

Answer no to two or more and the check is worth ten minutes.

  • Are the club’s bank statements reconciled every month?

Monthly reconciliation means the year-end takes days rather than weeks.

  • Does every coach and staff payment go through payroll?

Payments made outside payroll come back later as an HMRC letter.

  • Do you know every filing deadline for the next twelve months?

We map them in the first month so none of them creeps up on you.

  • Could you produce a spend report for a funder within a week?

Funders ask for quarterly and six-monthly spend, budget and forecast figures.

  • Is the VAT position clear on bar, food and pitch hire income?

Mixed income is where club VAT mistakes usually start.

  • Do you know the fee before the work is done?

Ours is agreed in writing before we start.

  • Would someone deal with HMRC for you at no extra cost?

Tax investigation cover is included free for every client.

  • Is the club’s structure right for the grants you apply for?

Some clubs do better as a community interest company, and we handle the formation.

I just want to say a big thank you to Mudassir for all the advice, guidance and help he has provided whilst dealing with my accounts and tax returns. From start to finish the service has been excellent and professional. Unlike other accountancy firms they provide a friendly personalised service, I was very clear on the process and was even provided with additional guidance where needed. Highly recommended!

Getting started

Four steps from your first answers to a club that knows where it stands.

  1. Before you join

    Your fee agreed in writing

You answer a few questions on the site. Mudassir reads them and replies the same working day, and we agree the fixed fee before any work starts.

  2. Week one

    We collect your records

We complete the ID checks and write to your current accountant for the records, so nobody on the committee has to make that call. HMRC and Companies House authorise us as your agent.

  3. First month

    Every deadline mapped

We go through past accounts, returns and HMRC records. Unclaimed reliefs, payments on account set too high and penalties worth appealing turn up here.

  4. By ninety days

    The committee knows the plan

We sit down with you on the bookkeeping set-up and how coaches and staff are paid. You know what is coming up and who to call.

Who we are not right for

We do not prepare charity accounts, so a registered charity needs a different firm.

We do not take on CIS construction subcontractors.

We cannot help an organisation already late in an HMRC investigation.

If you are unsure which side of that line your club sits on, start the check and we will tell you the same working day.

Accountants for sports clubs: questions people ask

What do accountants for sports clubs charge?

The fee is fixed and agreed in writing before any work starts, so the committee knows the number before it votes. What it covers depends on the club: bookkeeping, payroll, VAT, year-end accounts and funder reporting. Calls, meetings and emails are never charged on top, and tax investigation cover is included free.

Can you take over from our current accountant part way through the year?

Yes. Answer the questions on this page and Mudassir replies the same working day. If we are a fit, we complete the ID checks and write to your current accountant for the records ourselves, so nobody on the committee has to make that call. HMRC and Companies House then authorise us as your agent.

What happens if HMRC writes to our club?

Send us the letter the day it arrives and we will tell you what it means. We deal with HMRC for you, and tax investigation cover is included free for every client, so an enquiry does not come with an extra bill from us. Every HMRC investigation we have handled, we have won.

Do we have to change our accounting software?

No. We work with the cloud software the club already uses. If you want to move to Xero, we do the migration free. If your treasurer keeps everything in a spreadsheet and a folder of receipts, we will take that and set the club up properly, with no separate charge for the handover.

Do you work with sports clubs set up as community interest companies?

Yes. Many of the clubs and community organisations we look after are CICs. We handle CIC formation, the annual CIC accounts and the community interest report, and we write the quarterly and six-monthly spend, budget and forecast reports funders want. We have done grant reports for more than ten CICs.

Can you produce the reports our funder asks for before the deadline?

Yes. Funders ask for quarterly and six-monthly spend, budget and forecast reports, and we write them, with accounts ready early when a grant deadline is close. One thing we say straight: we do not take on registered charities, or an organisation already late in an HMRC investigation.
