Accountants for petrol stations who answer the phone and fix the fee

Accountants for petrol stations are dealing with two businesses at once: fuel on a thin margin and a shop with mixed VAT rates going through the same till.

Most forecourt owners who call us are chasing last year’s accounts while this quarter’s VAT return is already due. We agree the fee in writing before we start, reply the same working day, and tax investigation cover is included free for every client.

In one lineSupreme Consultants is an AAT licensed accountancy practice in Cardiff Bay that does the bookkeeping, VAT, payroll and year end accounts for petrol stations and forecourt shops across South Wales. The fee is fixed in writing before work starts and tax investigation cover is included free for every client.

Is your petrol station in good hands? Three questions.

Answer with the buttons and you get a straight read, with no email asked for.

Question 1 of 3

Does your accountant reply the same working day?

What you get

HMRC enquiries dealt with at no extra cost

Tax investigation cover is included free for every client. Every HMRC investigation we have handled, we have won.

Fuel and shop takings split properly

We separate fuel, shop and services so the VAT return matches what actually went through the till and the card machine.

A fee you know before we start

The fee is agreed in writing first. Calls, meetings and emails are never charged on top.

What forecourt owners tell us when they ring

These are the three things we hear most from petrol station owners in Cardiff and Newport.

  • “HMRC has written to me about my VAT and I do not know what the letter is asking for.”

Waiting a fortnight for a call back turns a short reply into a penalty you then have to appeal.

  • “The pump report looks fine but the bank never matches the takings.”

Fuel cards, card settlements and shop sales get posted as one lump, so nobody can see which line is losing money.

  • “I want a second site and the lender wants figures I have not got.”

Accounts filed nine months late are no use to a bank, and the site goes to somebody else.

  • What changes once we take it on

Your till, fuel and card data is reconciled every month instead of once a year. The VAT return is prepared from figures you have already seen. When a letter arrives you send it to us and we answer it.

How this differs from a once a year accountant

Plenty of firms file accurate accounts for forecourts. The difference is what happens in between.

A once a year accountant

Records go in after the year end, nine months late.

A phone call about a VAT letter lands on the next invoice.

Investigation cover sold as an add-on for £300 to £1,000 a year.

Fuel, shop and card income posted as one figure.

With Supreme Consultants

Bookkeeping kept up to date in cloud software every month.

Calls, meetings and emails are never charged.

Tax investigation cover included free for every client.

Fuel, shop and services split so the VAT return stands up.

Eight questions about your forecourt paperwork

Work down the list and count the noes.

  • Are fuel sales and shop sales recorded separately?

Mixed figures make the VAT return hard to defend if HMRC asks.

  • Do card settlements get reconciled to the till every month?

Settlement delays hide shortfalls for weeks if nobody checks.

  • Is the zero rated and standard rated shop split checked?

Food, drink and confectionery all sit on different rates.

  • Do you know your fuel margin by month?

Pence per litre moves faster than your year end accounts do.

  • Are fuel card commissions and rebates posted correctly?

They are income and are often missed entirely.

  • Is payroll run on time with pensions submitted?

Late RTI submissions bring penalties that build quietly.

  • Have you checked your business rates relief with the council?

Welsh councils only give some reliefs to businesses that apply.

  • Would somebody answer an HMRC letter for you this week?

Response windows are short and they do not pause for your accountant.

What a first meeting with a forecourt and shop owner can turn up

A Spar franchise owner with several stores came to us still paying full business rates from the Covid years. Retail businesses in Wales were entitled to relief, but Cardiff Council only gave it to businesses that applied.

Clients described by type. Names withheld.

£10,000of business rates relief found in a first meeting
How it was found
We checked what the council had actually charged him against the relief Welsh retail businesses could claim.
What happened
He applied, and it saved him £10,000.

I just want to say a big thank you to Mudassir for all the advice, guidance and help he has provided whilst dealing with my accounts and tax returns. From start to finish the service has been excellent and professional. Unlike other accountancy firms they provide a friendly personalised service, I was very clear on the process and was even provided with additional guidance where needed. Highly recommended!

How switching to us works

Four steps, and you never have to ring your current accountant.

  1. Before you join

    Your fee agreed in writing

You answer a few questions on the site. Mudassir reads them and replies the same working day, and if we are a fit we agree your fixed fee before any work starts.

  2. Week one

    Your records moved across

We complete your ID checks and write to your current accountant for your records. HMRC and Companies House authorise us as your agent.

  3. First month

    Old returns and letters reviewed

We go through your past accounts, tax returns and HMRC records. Unclaimed reliefs, payments on account set too high and penalties worth appealing turn up here.

  4. By ninety days

Till and pay set up properly

We sit down with you on your bookkeeping set-up and how you pay yourself. You know what is coming up and who to call.

Who we are not right for

We do not take on CIS construction subcontractors.

We do not do charity accounts.

We cannot take on a business already late in an HMRC investigation.

If your forecourt sits outside those three, start the check and Mudassir replies the same working day.

Accountants for petrol stations: questions people ask

How much do accountants for petrol stations charge?

We work on a fixed fee agreed in writing before any work starts, so you know the figure before we touch your records. It depends on the number of sites, whether payroll is included and how your till and fuel data comes to us. Calls, meetings and emails are never charged on top.

Can I switch accountants part way through the year?

Yes. You do not have to ring your current accountant. We complete your ID checks, write to them for your records and get authorised as your agent with HMRC and Companies House. The handover, the first month, the move to Xero and your Companies House ID verification carry no separate charge.

What happens if HMRC opens a VAT check on my forecourt?

You send us the letter and we deal with HMRC for you. Tax investigation cover is included free for every client, where other firms sell it as an add-on for £300 to £1,000 a year. Every HMRC investigation we have handled, we have won. We cannot take on a business that is already late in an enquiry.

Do I have to change my till or accounting software?

No. We work with the till and back office system you already have, and we take the data as it comes out. If you want to move to Xero we do the migration free. If your current software suits the forecourt, we leave it alone and get on with the work.

Do you work with petrol stations outside Cardiff?

Yes. We are based at Titan House in Cardiff Bay and over 90% of our clients are in South Wales. We look after sites in Newport, Swansea, Caerphilly, Barry and Port Talbot, and we take work in Bristol. Work is done remotely, in person at our office, or a mix of both.

Do you handle the shop as well as the fuel?

Yes, and they are treated as two income streams. Fuel, shop sales, services and fuel card commissions are posted separately so the VAT return reflects the right rates. That split is also what a lender wants to see when you go for a second site.
